So.. they know this is going to happen? will they be gutted if they are left in the cold? Is it just a meal? Do you have to tour them around?
The secretary from the "hosting" hall, where the speaker is giving the talk, calls him during the week and asks if he wants to avail himself of the hospitality arrangement. It most typically, if not always, is just a meal after the meeting. Sometimes the speaker says no, but most often, he says yes and brings his family. Is this only something larger circuits do because the speakers travel farther? I really didn't know that. I thought it was everywhere.

It sounds kinda quaint, but again, if it's falling on you again and again... we're right back to the short notice talks. LOL
It seems like the schedule rotates all the elders and MS servants, but our hall only has like 10 altogether, so that's why we do it like every 10 weeks or so. In my last hall, anyone could sign up; the secretary just left a blank line next to the speaker's name. It was nice, because if you knew the speaker, you could take him out. And all the families in the hall could get involved. It's funny, though, because you'd figure that they'd give all the elders/servant's families a break since they have so many other responsibilities, but I guess not!
actually they just changed it. now it's there is just a long list of everyone willing to offer hospatility and it gets posted for the month. you can change around if you know the speaker or whatev but its more assigned now.
do your speakers drive far to your halls?
some of our speakers will only stay for their talks and then leave. LOL
some of them. but we do it for the next congregation over. 15min probably or even the congregation that we share the hall with. but then there's speakers from bethel and such which is like 1hr or 1n1/2. i've never heard of halls not having them.

we don't have a hospitality thing set up in my hall either. though if i know the brother i'll invite him over or out. hospitality is fully random at my hall.
